1. General Shipping Information

LEDStagePro ("we", "us", or "our") is committed to providing reliable and efficient shipping services for all our products. This Shipping Policy outlines our shipping practices, including delivery times, shipping costs, shipping methods, and international shipping requirements.

By placing an order with us, you agree to the terms and conditions outlined in this Shipping Policy, as well as our Terms of Service and Privacy Policy.

2. Order Processing Time

2.1 Standard Processing

Most standard products are processed within 3-5 business days of receiving your order and payment. Processing time does not include shipping time and may vary based on product availability and order volume.

2.2 Custom Products

Custom or made-to-order products require additional processing time:

  • Custom LED panels: 7-10 business days
  • Custom stage designs: 10-15 business days
  • Large-scale project orders: 15-30 business days (depending on complexity)

2.3 Order Confirmation

You will receive an order confirmation email immediately after placing your order, followed by a shipping confirmation email with tracking information once your order has been shipped.

3. Shipping Methods and Delivery Times

3.1 Domestic Shipping (China)

For orders within China, we offer the following shipping options:

3.2 International Shipping

Note: Delivery times are estimates only and do not include customs clearance time, which may add 3-7 business days to international shipments.

4. Shipping Costs

4.1 Cost Calculation

Shipping costs are calculated based on:

  • Product weight and dimensions
  • Shipping destination
  • Shipping method selected
  • Packaging requirements (custom crating, special handling)

4.2 Free Shipping

We offer free standard shipping for:

  • Domestic orders over ¥50,000 RMB
  • International orders over $10,000 USD (sea freight only)
  • All wholesale orders exceeding 100 units

4.3 Shipping Cost Confirmation

A final shipping cost will be provided to you before order confirmation. For large or custom orders, we will provide a detailed shipping quote for your approval before processing your order.

5. International Shipping Requirements

5.1 Customs and Duties

As the importer, you are responsible for:

  • All customs duties, taxes, and fees applicable in your country
  • Providing accurate import documentation
  • Complying with all import regulations in your country
  • Paying any brokerage fees charged by the shipping carrier

5.2 Import Documentation

We will provide the following documentation for international shipments:

  • Commercial invoice (with HS codes)
  • Packing list
  • Certificate of origin (upon request)
  • Product certification documents (CE, RoHS, etc.)

5.3 Restricted Countries

We do not ship to countries under international trade sanctions or embargoes. We reserve the right to refuse shipping to any country where we determine that compliance with local regulations is not feasible.

6. Packaging and Handling

6.1 Standard Packaging

All products are shipped in:

  • Custom-fitted foam inserts to prevent damage
  • Corrugated cardboard boxes (for small items)
  • Waterproof wrapping for electronic components
  • Labeled with handling instructions and fragility warnings

6.2 Special Packaging

For large or fragile orders, we offer:

  • Custom wooden crating (additional cost)
  • Shock-absorbent packaging for sensitive electronics
  • Climate-controlled shipping for temperature-sensitive items
  • Reinforced pallets for freight shipments

6.3 Handling Instructions

All shipments include detailed handling instructions to ensure proper care during transportation and delivery. We recommend inspecting all packages upon delivery for signs of damage.

7. Tracking and Delivery Confirmation

7.1 Tracking Information

Once your order ships, we will provide a tracking number and link to track your shipment online. For international shipments, we provide:

  • Carrier tracking number
  • Estimated delivery date
  • Customs clearance status (when available)
  • Proof of shipment documentation

7.2 Delivery Confirmation

All shipments require signature confirmation upon delivery for:

  • Orders over $1,000 USD
  • All international shipments
  • Products containing sensitive electronic components

7.3 Delivery Issues

If you experience any delivery issues (delays, lost packages, damaged goods), please contact our shipping department within 48 hours of the expected delivery date at shipping@ledstagepro.com.

8. Shipping Exceptions and Limitations

8.1 Force Majeure

We are not responsible for shipping delays caused by:

  • Natural disasters, weather events, or acts of God
  • Transportation strikes, labor disputes, or carrier issues
  • Customs delays or government regulations
  • Political instability or civil unrest
  • Global supply chain disruptions

8.2 Address Changes

Address changes may be requested up to 24 hours after order placement. Address changes requested after shipment may incur additional fees:

  • Domestic address change: $25 USD fee
  • International address change: $50-150 USD fee (depending on carrier)
  • Address correction (minor errors): $15 USD fee

8.3 Undeliverable Packages

Packages returned to us as undeliverable will be subject to a re-shipping fee plus the original shipping cost. If you refuse delivery, you will be responsible for all shipping costs (both ways) plus a 15% restocking fee.

9. Damaged or Lost Shipments

9.1 Damage Claims

To file a damage claim:

  1. Inspect the package immediately upon delivery
  2. Note any damage on the delivery receipt
  3. Take photos of the packaging and damaged items
  4. Contact us within 48 hours of delivery at claims@ledstagepro.com
  5. Provide photos, tracking number, and detailed description of damage

9.2 Lost Shipments

A shipment is considered lost if:

  • Domestic: No delivery update for 10 business days after shipping
  • International: No delivery update for 30 business days after shipping

For lost shipments, we will:

  • Initiate a carrier investigation
  • Provide a replacement shipment (if available)
  • Issue a full refund if replacement is not possible
  • File an insurance claim on your behalf (for insured shipments)

9.3 Insurance Coverage

All shipments are insured for the full value of the order. Insurance coverage includes:

  • Damage during transit
  • Lost or stolen packages
  • Total loss of shipment
  • Customs seizure (when covered by policy)

10. Shipping for Special Orders

10.1 Bulk Orders

For bulk orders (100+ units), we offer:

  • Consolidated shipping options
  • Volume-based shipping discounts
  • Phased delivery schedules
  • Dedicated shipping coordinator

10.2 Project Shipments

For large-scale project shipments:

  • Custom shipping schedules to match project timelines
  • White-glove delivery options (additional cost)
  • On-site delivery coordination
  • Installation team coordination (when applicable)

10.3 Rush Orders

Rush shipping is available for an additional fee:

  • Domestic rush: 24-48 hour delivery ($200-$500 fee)
  • International rush: 2-3 business day delivery (15-25% of order value)
  • Rush processing: Priority production (10% of order value)
